Problem Filters & Backlog Hygiene

Maintaining a predictable project requires catching missing estimates, scope drift, and over-allocation before they compromise delivery. Dual Point Estimation provides four diagnostic Problem Filters directly above the WBS table.

The Four Problem Filters

FilterPriorityTrigger ConditionRecommended Action
UnestimatedHighestissue.estimate is undefinedEnter Low and High estimates or use Quick Set to clear.
Exceeding HighHighTotal Logged > High EstimateInvestigate unforeseen blockers or adjust the scope.
Approaching HighMediumLogged > 90% High and <= HighProactively check in at standup; verify whether help is needed.
Subtasks Estimate Too HighMediumSubtasks Low > Parent Low OR Subtasks High > Parent HighAlign parent estimate to subtasks using the Subtask Total button, or trim subtasks.

Priority Evaluation

In the WBS table, an issue may exhibit multiple potential issues simultaneously. Dual Point Estimation evaluates problem status in strict priority order:

  1. Completed Check: If an issue is marked Done, problem checks are bypassed (completed issues are evaluated for retrospective variance rather than backlog risk).
  2. Unestimated Check: If the ticket lacks an estimate, it is tagged Unestimated.
  3. Exceeded Check: If total logged work exceeds the High estimate, it is tagged Exceeding High.
  4. Approaching Check: If logged work has crossed 90% of the High estimate, it is tagged Approaching High.
  5. Subtask Consistency Check: If subtask sums exceed parent bounds, it is tagged Subtasks Estimate Too High.

Backlog Hygiene Routines

1. Sprint Refinement

  • Open the Planning Workspace.
  • Toggle the Unestimated problem filter (or click Find & Fix on the scorecard).
  • Ensure every user story, bug, and task has an estimate before commitment.
  • Toggle Subtasks Estimate Too High to ensure subtask breakdowns haven't blown past parent budgets.

2. In-Sprint Monitoring

  • Open the Tracking Workspace.
  • Click View Issues next to Issues At Risk to see tasks nearing their ceiling (Approaching High).
  • Intervene before the high estimate is breached.
